Arcaiva supports a stated sequence: review customer context, choose an invoice or pro forma, read the appropriate receivables view, and keep the company context explicit. Each step answers a different operating question.
Keep the work connected
An overview of the working sequence, not an automatic processing guarantee.
1. Review the customer context
Begin with the customer details, balances, related invoices, and recent activity. That context helps a reviewer understand which account and which question they are working on before a new document is prepared or an open amount is followed up.
2. Choose the billing document
Create an invoice when the invoice workflow is needed. Preserve signed positive or negative adjustments and generate the invoice PDF from that workflow. Use a pro forma when the pre-invoice document is needed first; an accepted pro forma can become one draft invoice, which still requires review. A pro forma is not an invoice or receivable before that conversion.
3. Read the receivables view in context
Receivables Flow reports billed, collected, and open amounts for the current-month invoice cohort. Overdue Pressure covers all currently open receivables. Use the invoice register to investigate the question behind an amount; do not collapse the two populations into a cash forecast, collection guarantee, or generic balance.
4. Keep the company boundary explicit
The documented accounting workflow is company-scoped. That is useful context for a team working inside one company record; it is not a claim of consolidation, intercompany automation, or a blanket data-isolation assurance.
Know what is outside this sequence
Confirm any hard dependency before you choose a product. Arcaiva’s public material does not establish a generally available third-party integration catalog, live Plaid bank connections, a completed QuickBooks migration, tax filing, payroll, consolidation, or ERP replacement. Planned and limited-availability work is not a day-one promise.
